Business Phone Systems - Types Of Systems Available

There are three major types of phone system available: KSU-Less phones, Key systems and Private Branch Exchange (PBX) systems. Which type of phone system you choose will depend on the amount of extensions you require and the features your telephone system needs to have installed.

KSU-Less systems are usually more suited to companies that typically have less than ten employees, or require less than ten extensions. That isn't to say that all companies requiring less than ten phone extensions can make do with a KSU-Less system. It may be that you require more features which are only available through either a PBX or Key phone system.

Requiring a far lower initial investment than the other types of business phone systems, KSU-Less phones are specifically designed to include many of the features usually only available through the implementation of a full small business phone system.

KSU-Less systems can be easily unplugged and relocated, because they are not permanently wired into your office. This portability allows you to treat a KSU-Less phone system, much the same as any business machine, rather than a lost permanent investment.

You will need to ensure that any KSU-Less system you choose is compatible not only with the type of wiring you have in your office, but also with any accessories you may already have, such as: headsets, answering & fax machines and modems. Because KSU-Less phone systems are relatively inexpensive, they are not usually sold, installed, or maintained by telecoms vendors.

All of this means, you have to go out there and do not only the shopping yourself but, also the installation and support. This is one of the two major drawbacks of KSU-Less systems. The last thing any business needs is to be concerned with the reliability and maintenance of its phone system. Another drawback of KSU-Less systems is that they are more prone to something known as "crosstalk". This is where separate conversations may blend into each other. With PBX, Key systems and Hybrid systems falling in price, it sometimes makes more sense to invest in a full business phone system, rather than become susceptible to the risks of a KSU-Less system.

Private Branch Exchange (PBX) systems

If your business typically requires more than forty extensions, or your needs dictate you need advanced functions from your business phone system, then PBX systems are often the solution. PBX systems used to be extremely expensive and only affordable by huge corporations with hundreds of extensions. Though this is still the case for larger installations, the development of the technology required has progressed to the point where a powerful, fully functional PBX office phone system for a small business is able to fit on the top of a desk.

Nearly all these compact PBX phone systems come with all the features you might want as standard. You pay a premium for the programmability and flexibility that a PBX offers, but in most cases the price difference is not as much as you may imagine between that of a less flexible phone system.

Key Systems

Key phone systems are more typical in businesses that require five to forty extensions. This type of phone system uses a central control unit called the Key System Unit (KSU) to provide features and functions that are not available using ordinary phones. An example of this is: key systems using a KSU allow one extension to call another in house extension, and prevents any other users from picking up a line that is already in use. Key systems usually come as standard with most features any business would expect, but in some cases they are often less flexible than a PBX phone system.

PBX & Key Systems (hybrids)

Though Key and PBX systems have some different technical features, these differences have become somewhat blurred over the past couple of years. Many Key systems now offer features that were once only available to those who chose to install a full PBX phone system. Some systems also operate internally as either a PBX or Key system depending on the software installed. Sometime these systems are often referred to as "Hybrid" phone systems.

The Martin Yale 1616 letter opener is designed to conveniently sit on your desk for easy access and use when mail arrives. It has four non skid rubber feet to keep it from moving and offers a compact and stylish design that should blend in with the other pieces of equipment in your office. It is small enough that it won't get in the way when placed on your desk. In fact, it only measures 9.5" x 7.5" x 3.75" in size. The 1616 Electric desktop letter opener is designed to quickly and easily open envelopes as they are inserted into the machine. Although you have to feed the envelopes into the machine manually, after you insert the envelope into the machine, the 1616 does the rest. It activates the cutting blades, grabs the envelopes and cuts the envelope open. The Martin Yale 1616 is quiet, safe and easy to operate. This makes it ideal for the typical office environment.

Weaknesses / Limitations:
The Martin Yale 1616 is a light volume office letter opener that is manually fed. This means that each letter needs to be fed into the machine one at a time. This makes it ideal for organizations that need to deal with up to one hundred letters per day. Organizations that deal with more mail than this may want to consider a larger more automated letter opening system. The Martin Yale 1616 uses extremely sharp blades to cut off the top section of each envelope. If the items inside the envelopes are too close to the top they may be sliced during the opening process. For this reason, it is important to remember to jog your envelopes by tapping them on the table or a hard surface to make sure the items inside settle to the bottom. Organizations that own a paper jogging machine may want to consider jogging their envelopes before opening them in order to prevent damaging the contents during the opening process. The Martin Yale 1616 letter opener is ideal for opening most standard sized business envelopes. However, overstuffed envelopes and extremely large letters may cause difficulties during opening. Thick envelopes and envelopes that have been damaged during mailing should be opened by hand and should not be run through the machine.

Recommendation:
The Martin Yale 1616 electric desktop letter opener is ideal for use in a small or medium sized organization where a single individual opens and distributes the mail. Although this machine is not ideal for a large mail room, it will comfortably sit on an individual's desk and is great for opening up to one hundred letters per day. However, users who need to open more than one hundred envelopes per day or who are looking for a high productivity machine will be best served to look at one of Martin Yale's auto feeding letter openers.

How To Choose The Right Monitor

If you're getting ready to replace that old monitor or even buy a new computer system, choosing the right monitor may seem a little intimidating. New technology has given us more choices when shopping for a new monitor.

There are basically two types of monitors, a CRT monitor and the newer flat panel TFT type. Either of these monitors will serve it's purpose and give you years of usage. So, your decision will probably be based more on what you want, or what you can afford! If you're on a tight budget, you may not have a choice in which monitor you'd prefer. The basic CRT monitors have become less expensive and if price is your main obstacle, this could be your only choice!

Compact Office Desks

Most new computer systems come pre-packaged with the newer TFT monitors. However, depending on where you purchase the computer, sometimes you will still have a choice. Especially if you're buying from a smaller computer shop or having your system custom built.

First of all let's clarify, there is a huge difference in a flat screen monitor and a flat panel monitor! And, knowing the difference between the two is very important.

Buying a monitor with a flat screen doesn't mean that you're getting a thin, lightweight monitor. A flat screened monitor is just basically what it the name implies, the screen is flat instead of having a curved surface! There are several benefits to having a monitor with a flat screen. The flat screen will cut down on the glare that comes from both the image on the screen and your surroundings!

Flat screens are specially coated so that lights or other objects in your room don't reflect off of the screen. The images will be sharper, the text will be much easier to read and you'll see a noticeable difference in eye-strain.

The CRT monitors are the ones that most of us still have, though are being phased out. They're the older styled monitors that are large and heavy. These monitors use tubes similar to those in televisions. You can find many CRT monitors that now have the flat screens. Even though most newer models are now slightly more compact, they're still large and can be quite heavy.

Although the newer TFT monitors have flat screens, they're actually called flat panel monitors. They're very thin and compact and provide a greater picture quality than the old CRT monitors.

Aside from a more vivid picture with less distortion, flat panel monitors are the best choice if you're short on space! They're usually only a couple of inches thick, so they take up a lot less space than CRT models.

Most flat panel monitors can be mounted on the wall behind your computer desk. They can also be mounted to monitor arms that will allow you to adjust the height and angle of your monitor. If you are considering buying a flat panel model, make sure you read the specifications. One of the things you'll definitely want to check is the viewing range.

The viewing range on earlier flat screens was limited. Simply put, if you weren't sitting directly in front of the monitor you wouldn't be able to see the images. But, most newer models now provide a wider viewing area, just be sure to check before purchasing.

Another thing you will want to consider when purchasing a new monitor is how much you use your computer. If you spend hours in front of your monitor or you're an avid gamer, the picture quality will be of major importance.
